Brand voice tells a writer how to express a fact. Approved sources establish whether the fact is true. Xtrusio documentation must keep those jobs separate: preferred words cannot validate an unsupported product claim.
Prepare two inputs
Create a short language guide with preferred terminology, prohibited claims and examples of acceptable wording. Separately, collect authoritative product material with an owner for resolving conflicts. Before execution and client-specific customization proceed, Xtrusio's team reviews the Foundation with the client across meetings. The client approves the buyer questions, product and service descriptions, facts and figures. This is a manual approval process; AI-generated suggestions do not replace client approval.
Avoid instructions such as “always sound innovative.” A concrete instruction is easier to apply: “Use contract renewal instead of contract extension unless the product distinguishes them.”
Use the client knowledge base
During Foundation setup, Xtrusio scans the client's important website pages, including pages the client suggests, to build a RAG knowledge base. RAG means retrieval-augmented generation: article creation refers to this stored client material, described in the workflow as the Markdown or RAG reference. The client reviews and approves the Foundation before downstream work proceeds.
Reference material supports drafting; it does not replace review of the resulting claims. Resolve outdated or conflicting source material with the client.
Apply and review the guidance
- Review the Humanizer controls available in your instance. These include preferred and banned wording.
- Agree the scope of each rule. A prohibited phrase may apply to all content, while a product term may apply only to one offering.
- Supply approved source material through the team's supported process.
- Review a short draft for both terminology and factual accuracy.
- Ask for a revision when a voice rule changes the meaning of a claim.
Do not place credentials, private contracts or unrelated customer information in general writing instructions.
Example: a sentence with two checks
Illustrative draft: “Our system guarantees compliant contracts.”
A voice edit might replace “system” with the product name. The factual review must still question “guarantees.” Without evidence for that promise, use a supported description of the actual review or control provided.
When sources disagree
The client decides which fact is correct. Xtrusio presents the collected information and helps correct the narrative using the client-approved fact. There is no automatic rule that a website always overrides a client document. Keep disputed claims out of public content until the client resolves them.
Before approving an article, check one sentence for voice and one substantive claim against its source. Passing the first test does not substitute for passing the second.
